Google says Gemini Apps can create PDF, Excel and document files directly in a web chat. That makes it possible to work from one approved source instead of starting each file separately. The hard part is checking the saved files: a fluent chat response cannot tell you whether a workbook formula survived export or a Drive document went to the right account.

## The big change

- **What changed:** Gemini can return a PDF, an `.xlsx` workbook and a Google Doc or `.docx` from chat. File creation is now part of the conversation, though availability and limits depend on the account.
- **Why it matters:** Someone preparing several versions of the same approved material can use one source for each. They still have to open every file and reconcile its facts, calculations and access; agreement between two AI outputs does not establish that either is right.
- **What to watch:** The decision to use a generated bundle turns on its weakest file. A broken spreadsheet calculation, missing PDF caveat or wrongly shared Doc leaves the delivery unfinished even when the other files look ready.

## Prepare one approved source

1. Choose a real, dated source that you own or are authorized to use. It needs the prose and tabular facts required for your deliverables. Get the source owner's permission to submit this exact version to the selected Google account before you paste or upload it. If the source lacks the numbers needed for a workbook, obtain an authorized source with those numbers; do not ask Gemini to invent rows.
2. Make a private check sheet before opening Gemini. Record the source title and version, each material name, date, period, number, unit and qualification, the required sections, the table columns and data types, any calculation and its rounding rule, and who will review the outputs. Set the intended PDF, workbook and document audiences. Record whether the document must be a native Google Doc, a Word `.docx`, or both, and who may receive each final file.
3. Check the signed-in account at [gemini.google.com](https://gemini.google.com/) and whether file generation is offered. [Google's computer help](https://support.google.com/gemini/answer/13275745) lists Docs, Sheets, PDF, DOCX and XLSX among supported outputs. A personal, work or school account can face different access rules; a work or school administrator may control the service. Review the [Gemini Apps Privacy Hub](https://support.google.com/gemini/answer/13594961), your organization's rules and the current [usage limits](https://support.google.com/gemini/answer/16275805) before submitting the source. Allowances vary by account and feature, and higher allowances may require a paid plan; check the account's actual limits rather than assuming a fixed cost for this bundle. Use a PDF reader, Excel or Sheets, and the intended document editor for the later checks.

## Create the three files in Gemini chat

4. Start a chat and supply only the authorized source version. For a local attachment, use **Add files**, then **Upload Files**; [Google's upload help](https://support.google.com/gemini/answer/14903178) describes the upload path and limits. For approved text, paste the text directly. Large or multiple inputs can exceed the account's available context or use allowance, so compare Gemini's treatment of the source with your check sheet. Keep the source separate from your instructions.
5. Request the PDF first. Give Gemini the real audience, required sections and source version. You can write: “Using only the attached approved source [its actual title and version], create a PDF for [the real audience] with [the required sections]. Preserve the source's dates, units and qualifications. Flag missing evidence instead of filling gaps. Provide an actual PDF file.” Replace every bracketed item with information from your own source. Save the returned `.pdf`, record its actual file name and version, and open it in a PDF reader. Check every page for legibility and match each material claim, figure, date, unit and caveat to the source. A chat preview does not complete this check.
6. In the same chat, request an Excel `.xlsx` workbook from that same source version. Name the actual columns, row types and calculations from your check sheet, including rounding rules. Ask Gemini to leave unsupported cells blank or flagged. Save the actual `.xlsx` and open it in Excel or Sheets. Compare material cells with the source, inspect formulas and their referenced ranges, and independently recalculate each material total or percentage from the source values. Check date and number types, units, displayed rounding, blank cells and errors. Record any disagreement rather than accepting a plausible total.
7. Request the document from the same source version. Specify its real reader, sections and whether you need a Google Doc or `.docx`. For Word delivery, save the actual `.docx` and open it in the intended editor. For a native Doc, use **Share & export** then **Export to Docs** when that route is available; [Google says](https://support.google.com/gemini/answer/14184041) it saves a new document in Drive. Open the created Doc, record its file identity, destination account and access settings, and check its headings, tables, substantive text and citations against the source. A document file generated directly in chat may offer its own Drive or download control, so inspect the control actually shown. If the delivery requires both Docs and Word, create and inspect both.

## Reconcile the saved bundle

8. Compare the PDF, workbook and document against the original source version and each other. Match every shared figure, period, unit, name and qualification. Settle conflicts from the source, not from a majority of generated files. Record each artifact's actual identity, version, destination-app open result, discrepancies, reviewer and decision on the check sheet.
9. Repair errors in the source-bound request or in a destination editor where you have permission. Save a new version and reopen that version. Changing a chat response does not change an earlier download. If a save or Drive export is uncertain, inspect Downloads or Drive and the target account before creating another copy. Keep valid partial files, but mark the bundle incomplete until the PDF, `.xlsx` and required document route all pass.
10. Ask the source owner to approve the final checked files and the actual recipients or access scope. File generation grants no permission to share. Read back the native Doc's access settings and verify the selected final files before delivery.

If the feature is unavailable, check the current account, plan and administrator settings instead of substituting chat text for a file. If an upload is disallowed or too large, get permission for a smaller source excerpt and repeat all fact checks; a shortened source can omit a decisive caveat. If a file will not open, a formula is wrong, or PDF or document export changes content or layout, record the precise failure, make a bounded correction and inspect the saved revision again. Google documents the file types and controls, but BIG CHANGE did not use a Gemini account, upload a source or test any generated file for this guide.
