An AI-drafted listing flyer is ready to share only when its property facts, photos, contact route and permissions have been checked together. This guide takes one brokerage-approved US residential listing through separate listing-page and flyer copy, an editable Canva flyer, a published HubSpot inquiry form and a human email response. Use your own approved record, cleared images and account; the steps below are based on product documentation, not a campaign or submission run by BIG CHANGE.

## The big change

- **What changed:** Canva's AI tools can draft listing copy and lay out the flyer; a separately published HubSpot form collects inquiries for human review and reply. The source of truth is still the approved listing record, not the AI output.
- **Why it matters:** A prospective buyer can move from a printed or digital flyer to a question about that property. The agent can see the actual question and recorded contact permission before replying, rather than treating every new CRM contact as a marketing subscriber.
- **What to watch:** A stale price, wrong QR target or unchecked consent field can survive an attractive design. The release decision belongs after a printed-size review, a link scan and the agent's own authorized submission test.

## 1. Set the listing record and release gates

Work from a current brokerage-approved listing or fact sheet. Record its source, version and approval date. Confirm that the property may be advertised through each intended channel: the brokerage-approved listing page and a printed or digital flyer. Ask the broker or MLS reviewer for the actual character limits, display rules, timing, required brokerage identity and disclosures. Do not assume one MLS's rules apply to another.

Make a check sheet with a source and reviewer decision for each field: property identifier; approved display address; asking price and currency; status and effective date; property type; beds and baths; interior and lot measurements with their units and approved measurement basis; each named amenity; showing or inquiry instructions; agent and brokerage names, contact details and required disclosures. Omit a field whose approved value is missing. Mark claims such as “renovated,” “walkable” or “great schools” as unapproved until the appropriate reviewer supplies evidence and wording. Keep the approved facts alongside both final copy versions so a later price or status change can be propagated deliberately.

For every image, record who supplied it, the license or permission for listing-page, flyer and print use, any credit requirement, and whether cropping or alteration is allowed. Check that the image still depicts the property accurately. Do not use an AI-generated room, view or improvement as though it were a photograph of this home. [Canva's flyer guide](https://www.canva.com/create/flyers/real-estate-flyers/) supports uploaded photos and editable layouts; it does not confer rights to the photos you upload.

The federal [fair-housing advertising rule, 24 CFR 100.75](https://www.ecfr.gov/current/title-24/subtitle-B/chapter-I/part-100/subpart-B/section-100.75) expressly covers flyers, including words, photographs and placement. Have qualified local, brokerage and MLS reviewers check the proposed copy, imagery, distribution and required disclosures under the rules that apply to this listing. This guide cannot approve those choices for them.

**Expected result:** A dated, approved fact and photo-rights sheet, plus a separate checklist for the listing-page and flyer requirements. Hold distribution while a fact, right or required disclosure is unresolved.

## 2. Draft two channel-specific versions, then check every claim

In a Canva design or document, use [Magic Write](https://www.canva.com/help/about-magic-write/) with only the approved facts. Ask for separate output blocks because a listing-page description and a short flyer have different space, context and disclosure needs. Replace the bracketed inputs with your real approved material; do not paste a client’s private information unless your brokerage permits it.

```text
Using only the approved listing facts below, draft two separate versions:
1. A listing-page description for [the approved channel and its actual limit].
2. Short flyer copy for [the approved format and its actual space].
Keep the approved address/display choice, price, status, measurements,
features, agent/broker identity and disclosures exactly as supplied.
Do not infer nearby amenities, school quality, accessibility, condition,
availability or buyer preferences. Flag missing facts instead of filling them.
Return a line-by-line list of every factual claim and its source field.
Approved facts and required wording: [paste your reviewed fact sheet]
```

Count the finished text against each channel's real limit. Compare every address element, price digit, unit, room count, feature, status and disclosure against the source sheet, line by line. Check fair-housing language and visual implications with the designated reviewer. Edit by hand; an AI claim list helps locate claims but cannot verify itself. Obtain the broker/MLS approval required for each destination and save the checked versions with the fact-sheet date.

**Expected result:** Two approved copy files that fit their actual channels, with no unsupported detail. If a fact changes, revise both outputs and repeat the check before sharing either.

## 3. Make and inspect the editable flyer

Open a real-estate flyer template or use [Magic Design](https://www.canva.com/help/use-magic-design/) with the cleared photos, checked short copy and approved branding. Keep the editable Canva design as the working master. Check every image crop, caption, price, contact detail and required disclosure in that design; some crop choices can misrepresent a room or conceal a relevant feature. Look at it at the intended print size and on a phone. If a disclosure, phone number or form URL becomes hard to read, change the layout before export.

Check the actual Canva account for Magic access, AI usage, template or stock-image rights and export options before choosing assets or committing to a print order. Do not assume that a template, Pro asset or export is included in every account. Use only property images and marks for which the agent has the required use rights. Check any stock or printing charge in the account before purchase; this workflow has no universal price or savings estimate.

**Expected result:** An editable flyer that matches the approved copy and image-rights record. The form destination is added only after the live form exists.

## 4. Publish one inquiry form for this listing

In HubSpot, an account user with **Edit forms** permission can go to **Marketing > Forms** (in some accounts, **More > Marketing > Forms**), choose **Create form**, and build a form for this property. [HubSpot's current form guide](https://knowledge.hubspot.com/forms/create-and-edit-forms) describes the editor and published standalone share link. Forms are documented across plans; automation and other extras have separate plan or permission limits. Use the smallest set of fields needed to answer an inquiry: name, email address, a question, and a visible property identifier or address that tells the visitor which listing the form concerns. Decide which fields must be required. Preview the form on desktop and mobile, including validation and the confirmation message.

Add the brokerage-approved privacy notice and policy link. Use [HubSpot's data privacy options](https://knowledge.hubspot.com/forms/add-notice-and-consent-information-to-your-hubspot-form) and counsel-approved wording to distinguish a response to this specific inquiry from an optional subscription to later promotional emails. Map any optional checkbox to the correct email subscription type. A form submission can create or update a CRM contact even when the visitor has not selected the communications checkbox; the contact record alone does not grant promotional permission. Do not preselect a marketing choice or describe a general inquiry as blanket consent. Confirm the resulting notice and consent behavior in the actual account with the responsible reviewer.

If you use a hidden or prefilled listing field for routing, treat it as visitor-submitted context. The human reviewer still checks the actual question and property; the field is no access-control guarantee. Assign a named person to review submissions, using form notifications or a regular submissions view. Confirm that person has **View forms** and the appropriate CRM record access in the account. The core procedure uses human review and an email reply, so it requires no paid workflow or automatic sequence.

Select **Review and update**, then **Update** to publish. In the share options choose **Copy a share link**, copy the standalone URL, and open it in a fresh browser tab. Check the visible listing name, fields, privacy text and working page before placing the URL on any flyer. HubSpot notes that anyone with the share link can reach that page; it is a public inquiry route, not a private record portal.

**Expected result:** One live, listing-specific form and its exact standalone URL, with review ownership and consent wording settled. Keep the URL in the release check sheet.

## 5. Connect, export and test every flyer route

In the Canva design, open **Apps**, search for **QR code**, choose **Static QR Codes**, and enter the exact published HubSpot share URL. [Canva's QR guide](https://www.canva.com/help/create-and-manage-qr-codes/) says a static destination is fixed after creation. Put a readable URL beside the code so a person can type it when scanning fails. Add a clickable hyperlink to the URL or call to action for the digital PDF; [Canva's hyperlink help](https://www.canva.com/en_au/help/hyperlinks/) describes links in PDF exports, subject to the export format. Do not rely on the clickable link in a flat image file or flattened PDF.

Export the formats approved for print and digital distribution. Reopen each exported file, read it at actual print size and on a phone, and compare its facts and disclosures with the approved versions. Scan the QR from the exported flyer with a separate device; click the PDF link; type or open the printed URL. Each route must land on the same live listing form. A QR preview inside the editable design is not this test.

**Expected result:** An approved editable master and exported flyer files whose text is legible and whose QR, visible URL and PDF link all open the intended form. If the URL or static QR is wrong, correct the design, regenerate the QR, re-export and retest. Printed copies with the wrong static code need replacement; editing the destination elsewhere will not repair the ink on the page.

## 6. Submit your own authorized test before distribution

Using your own authorized test identity and the published form reached from the final flyer, submit a clearly identifiable test question. Use the consent choice that the brokerage has approved for testing and record which choice you made; never use an invented customer or someone else's details. This is the agent's test to perform, not a BIG CHANGE test result.

In HubSpot, go to **Marketing > Forms**, find this form, then **Actions > View submissions**. Open the test in **View submission** and, with the required CRM access, open its associated contact record. [HubSpot's submission guide](https://knowledge.hubspot.com/forms/analyze-form-submissions-data) documents those views. Compare the recorded property identifier, question, email and contact-permission state with what you sent. Confirm the notification or assigned review routine reaches the responsible person. Mark or remove the test record under your brokerage's normal data-handling process so it is not mistaken for a prospect.

**Expected result:** The actual test appears under the intended form, carries the right property and permission fields, and can be reviewed by the assigned person. If it is missing, verify the flyer destination and the live form first, then check the form's submission view, date range, notifications and account access. Fix the cause and run one new authorized test; do not invent a lead or start a follow-up sequence to compensate for a missing record.

## 7. Review real inquiries and reply within the recorded permission

Once the flyer is approved for distribution, review the assigned form's actual submissions. Open each question and associated CRM contact, check which property the person meant, and read the recorded notice and communication choice. Make a human follow-up task for the responsible agent. The agent can write a relevant email response to the property's question when that response is permitted by the request and applicable brokerage/legal policy. Keep that response distinct from a promotional campaign. If later marketing permission is absent or unclear, hold promotional email and ask the qualified reviewer for a decision; a contact record or unmarked checkbox cannot settle it. Do not assume permission for texts, calls or automated sequences from this email inquiry.

Keep the approved flyer and listing current. When price, status, contact details or privacy text changes, update the fact sheet, both copy versions, form if needed and exported files, then repeat the path check. If the published form URL changes, generate a new static QR and replace distributed digital files and any printed copies that point to the wrong destination. That maintenance is part of a trustworthy inquiry route, not a claim that the route has produced leads or sales.

For a separate task after this inquiry route is checked, see our [guide to AI social carousels, quote cards and a visual calendar](https://bigchange.ai/blog/ai-social-carousels-quote-cards-30-day-calendar-guide). It does not replace the property fact, form and permission checks above.
