# Set up a shared ChatGPT Space for a project team

> A documentation-based guide to creating a shared ChatGPT Space and page, assigning collaborator access, and checking inherited permissions, linked files and copied personal context.

OpenAI introduced ChatGPT Space at [DevDay on September 29](https://openai.com/index/devday-2026-recap/). A Space groups editable pages and files so people can work on the same material with ChatGPT. For a team lead, the useful first task is modest: turn an existing discussion into one project overview, give a colleague the intended access, and check what the page reveals before inviting anyone else. This guide follows OpenAI's current Help Center instructions. BIG CHANGE has not created or tested a Space.

## The big change

ChatGPT now offers shared pages inside a Space on eligible Pro, Business and Enterprise accounts. A page can be made from a conversation, edited by people and ChatGPT, and organized under other pages. Access to a page can come from the page itself, its parent or the containing Space. That inheritance makes collaboration easier, but it also means a direct invitation is only one place to check when reviewing access. Linked source files keep their own permissions, while information copied from them onto a shared page can be read by page viewers.

## Check access before you begin

OpenAI's [getting-started guide](https://help.openai.com/en/articles/20001549-getting-started-with-space-in-chatgpt) says Space creation and editing require Pro, Business or Enterprise and are rolling out gradually. A managed workspace can limit sharing; Enterprise administrators may need to enable it. Space is not yet available for Business and Enterprise workspaces with data residency in Canada or the United Arab Emirates. Use ChatGPT on the web or desktop to create and edit. Mobile can find, read and share pages, but cannot edit them.

The input for this workflow is an existing ChatGPT discussion or project material that you are allowed to place in a shared page, plus the intended collaborator and view or edit role. OpenAI's cited manuals give plan requirements but state no separate Space fee. Check your current plan and organization settings before relying on the feature. OpenAI says Slides, Sheets and automatic page updates through Keep updated are unavailable at launch.

Space replaces Library for accounts with access. [Projects](https://help.openai.com/en/articles/10169521-projects-in-chatgpt) remain separate for project chats, files and instructions. Creating a Space does not move a Project's contents into it.

## Create a Space and an overview page

In ChatGPT on the web or desktop, [OpenAI documents](https://help.openai.com/en/articles/20001549-getting-started-with-space-in-chatgpt) asking ChatGPT to create and name a Space. Then open the discussion whose material belongs in the overview, or start a conversation with the permitted notes or files. Ask ChatGPT to create a page in that named Space with the goals, decisions and next steps from the material. Open the resulting page and check its names, dates, calculations and sources. Edit the text directly or ask for a specific change.

You can make supporting pages beneath the overview, but remember that subpages inherit access from their parent. OpenAI says moving a page under a different parent can change who can read it. Review access before confirming a move. The expected output of this step is an editable overview in the intended Space, with any supporting pages organized underneath; this is what OpenAI's instructions describe, not a result BIG CHANGE observed.

## Invite a colleague and trace their access

Open the page, select **Share**, choose the collaborator and assign view or edit access, as the [Help Center describes](https://help.openai.com/en/articles/20001549-getting-started-with-space-in-chatgpt). View access is appropriate for a reader; edit access permits changes to the page. You can share the whole Space instead if the intended collaboration covers its contents. In managed workspaces, an administrator's controls may hide or restrict an option. Check that you are in the intended account and workspace if sharing choices differ from the guide.

Review who has access through the page, its parent page and the Space. Removing a person's direct page invitation does not remove access inherited from a parent or Space. OpenAI says the granting parent or Space settings must be changed to remove inherited access. A subpage may also move into a different audience when its parent changes.

File access needs a separate check. A file uploaded *into* the page follows the page's permissions. A link to a separately stored file, including one in Space or a connected service, does not grant permission to open that original file; the original service's rules still apply. Check that file's own sharing settings if the collaborator needs it. At the same time, anything copied or summarized from the file onto the page is visible to page viewers, even if they cannot open the file itself.

## Review personal context and data settings

Sharing a page does not share your private chats or ChatGPT Memory. OpenAI warns that ChatGPT may draw on Memory while helping write a page; once personal information is written into that page, viewers can read it. Inspect the page text and uploads before inviting a collaborator. Do not rely on the source file's restricted permission to hide a detail that has already been copied into the page.

Each collaborator uses their own ChatGPT. For personal accounts, the [sharing and data-controls guide](https://help.openai.com/en/articles/20001544-chatgpt-space-sharing-data-and-controls) says an agent's interaction with shared content follows the training and Memory settings of the person using it. Your training choice does not control another collaborator's. OpenAI says it does not train on Business or Enterprise data by default. These settings and page permissions serve different purposes; review both when deciding what material belongs in a shared page.

The documented completion check is a page in the intended Space, the intended person's view or edit access traced through direct and inherited sharing, separate access to any linked original file, and page content checked for information that should stay private. BIG CHANGE has not run this workflow in an account or verified the result hands-on. OpenAI's Help Center displayed only a relative “Updated 7 hours ago” label when checked October 5, 2026; interface and rollout details may change.
