A team can turn permitted Gmail requests into Linear issues and Slack notices with an AI classifier, but each external action needs a person to approve the exact proposal. This guide gives a workspace developer and operations owner a complete, copyable Python 3.11+ example: bounded Gmail intake, OpenAI Responses classification, a durable SQLite journal, verified destination writes and a finite polling loop. It is a custom API integration, based on current Gmail, Responses, Linear and Slack documentation checked October 22, 2026. BIG CHANGE ran offline fake-adapter checks, including socket-blocked reviewer tests. We did not connect a real mailbox, call a paid model, create an issue, post a notice, change a label or run a live trigger.

The big change

  • What changed: A model can classify a bounded mailbox message and draft a route, while a person approves the source-bound proposal before separate Linear and Slack requests.
  • Why it matters: The journal keeps one action identity for each mailbox and Gmail message ID across policy revisions, and records uncertain requests before they reach another service.
  • What to watch: The reader must verify the actual issue, channel notice and final Gmail label. A stop blocks later claims but cannot recall a request already admitted or in flight.

1. Set the mailbox, policy and access boundary

Choose one authorized mailbox and a limited input label or query. The owner must specify which messages may leave Gmail, what warrants an issue, what should be ignored, and what must be held for review. Use real positive, negative, ambiguous and duplicate cases from the owner's permitted environment; this article supplies no invented customer messages. The four policy fields in config.example.json carry those criteria to the classifier. The gmail_query is the selection boundary before a model call. Policy prose alone does not deterministically exclude a sender or confidential content, so narrow the Gmail query and inspect the selected class before activation. Decide what issue and notice text each destination audience may see, and set a spend and retention limit.

Create the Gmail input and processed labels. Enable the Gmail API for an owner-controlled Google Cloud project and complete Google's real OAuth consent flow for the intended mailbox. The worker refreshes an existing token; it does not conduct initial consent. Its read-and-label route needs a tested gmail.modify grant. Google lists that scope as restricted, with verification and potentially security-assessment obligations depending on the app and data use. A labels-only grant cannot read the body. Verify the mailbox identity, organization consent and actual grant before processing. Google's OAuth guide covers refresh tokens.

Use a separately authorized OpenAI API project and a model with the selected Responses strict JSON output support. API access and billing are separate from a ChatGPT subscription. Check current model price, rate limits, data-sharing and retention terms for the actual project and mail content. store:false in the worker is not a complete zero-retention guarantee. The example uses one owner-authorized Linear personal API key for a verified team; it does not implement a multi-workspace OAuth flow or refresh. Check the team's issue access and the key's ability to create and read there. Give a Slack app chat:write in the exact channel and confirm its membership for a private channel. Public-channel posting may require another scope. The worker has no Slack history grant; a person must inspect the posted notice in the actual channel. Linear's API and Slack's posting reference define those interfaces.

Place tokens only in an approved secret store or protected interactive environment, including GOOGLE_CLIENT_ID, GOOGLE_CLIENT_SECRET, GOOGLE_REFRESH_TOKEN, OPENAI_API_KEY, LINEAR_API_KEY and SLACK_BOT_TOKEN. Keep real credentials out of the copied config, prompts, command history and logs. Put the SQLite database on one owner-controlled host with private access, persistent storage, a SQLite-aware backup and a retention rule. Its proposal text and identifiers can be sensitive. Gmail, OpenAI, Linear and Slack each receive or retain different copies under different audience and account policies.

2. Copy the reviewed files and run the offline checks

Create an empty private directory using Python 3.11 or later. Copy each entire code appendix below into a file with its heading's exact filename: worker.py, config.example.json, test_worker.py, and review_regressions.py. Copy only the code inside each fence. The public appendices preserve the reviewed source with line endings and trailing blank lines normalized; the SHA-256 values in the headings identify those copyable contents. Keep the four files together. The local program uses Python's standard library.

From that directory, run:

Text
python -B -m unittest -v test_worker.py
python -B review_regressions.py

The first suite contains 12 producer cases. The second runs those cases plus two independent race regressions, for 14 distinct offline cases overall. The independent review also blocked socket creation and used fake Gmail, model, Linear and Slack adapters with temporary SQLite journals. Passing checks establish the asserted local replay, policy, approval, MIME, stop and recovery behavior in those cases. They do not establish classifier quality, live API compatibility, actual permission, delivery, cost or a successful trigger. Do not run a real poll as an offline test.

Copy config.example.json to a separate private config path and replace every REPLACE_... value with an approved real value. Fill all four policy fields. Preserve the chosen mailbox spelling, database and policy while resolving a partial operation. The example caps a poll at 100 message IDs, five pages and 8,000 body characters; the supplied config sets lower limits. New matching mail can displace older messages in a capped run, so inspect backlog and counts. There is no full backfill route.

3. Activate and inspect one paid classification run

The commands below use DB, CFG, MID, EXACT_HASH, EXACT_TS and REVIEWER as reader-chosen private paths, identifiers or names. They are command examples, not observed outputs. Global flags precede each subcommand. After granting the account and model call, start with:

Text
python worker.py --db DB --config CFG status
python worker.py --db DB --config CFG activate
python worker.py --db DB --config CFG poll
python worker.py --db DB --config CFG --message-id MID inspect

poll reads Gmail and calls the paid model for newly selected messages that pass extraction. It saves a proposal or post-insertion review state, but makes no Linear, Slack or Gmail-label write. Gmail messages.list supplies message and thread IDs; the worker gets selected full messages, checks the mailbox and extracts bounded inline plain text. An attachment, HTML-only message, unsupported charset or invalid decoding raises before journal insertion. The run counts that message as held, but saves no message row; it may recur on the next poll and needs manual inspection using the run count and Gmail source. The same applies to a failed messages.get before insertion. The worker supports declared UTF-8, US-ASCII, ISO-8859-1 and Windows-1252 text; other MIME handling needs a separate reviewed implementation. The model sees owner policy instructions separately from untrusted mail input. Strict six-field JSON constrains output shape, not truth or authorization; refusal, incomplete output and uncertainty after insertion produce saved review states. The configured team and channel cannot be chosen by the model. Inspect run counts and saved ignored, review and proposed rows.

4. Approve the exact proposal, then verify each write

In inspect, compare the actual Gmail source and hash, policy revision and digest, category and evidence, destination IDs, complete issue title and description, notice text, and proposal_sha with the owner's rules and intended viewers. Only a named human reviewer should approve that precise hash:

Text
python worker.py --db DB --config CFG --message-id MID --proposal-sha EXACT_HASH --operator REVIEWER approve
python worker.py --db DB --config CFG --message-id MID execute

The journal key is (mailbox, message_id) through policy changes; raising policy_rev never creates another issue or notice for the same message. A proposal revision clears approval and requires a fresh exact hash. The worker compares row generation, current approval and active state in SQLite when claiming each request. It also checks the source and actual policy content hash. Those checks prevent the demonstrated stale-approval race; they cannot make the remote services and SQLite one transaction.

execute records an unknown Linear request and owner before calling issueCreate, then checks errors and reads back the exact issue ID, team, title and description. It stores the verified ID before attempting Slack. The Slack request gets its own unknown state and active check. A successful chat.postMessage response still requires a human to open the exact channel and compare the source marker, content and timestamp. With chat:write alone, this worker cannot read Slack history. Only after that readback, reconcile the exact post and label the Gmail message:

Text
python worker.py --db DB --config CFG --message-id MID --stage slack --outcome written --external-id EXACT_TS --operator REVIEWER --proof "actual channel, ts and content readback" reconcile
python worker.py --db DB --config CFG --message-id MID label
python worker.py --db DB --config CFG status

label finds the existing processed label, records an unknown label request before messages.modify, and reads back labelIds on the exact message. Completion means one verified issue ID, one operator-verified Slack channel/timestamp, the label on that same Gmail message and the saved journal record. After journal insertion, ignored or ambiguous classifications have saved no-write or review states. Extraction failures are held in the run count without a message row. The supplied worker sends no email.

5. Resolve uncertainty, replay and stop

A timeout, lost response, crash or mismatched readback can leave a request unknown. Inspect its local event trail and the exact destination. A returned zero-result search alone cannot prove no write occurred. An operator supplies concrete proof before using reconcile for written or no-write; a no-write decision authorizes only the specific retry. A recorded request owner blocks reconciliation while the original process may still be running. If it crashed, first prove the process stopped, then use release-owner with the operator's proof. The command cannot establish process death itself. Never remove the journal or change policy to clear a hold.

If a stop occurs during Linear readback, the worker preserves the verified Linear ID and prevents a new Slack claim. A later explicit resume handles only the remaining notice. If only Gmail labeling fails after both destination actions are verified, repair or retry that label alone. Replaying the same mailbox/message ID should find the journal row and stored external IDs, rather than create another issue or post. The source marker helps a human locate effects; it is not a remote idempotency guarantee.

For a finite reader-started poll loop, use the actual interval and maximum run count chosen after the first supervised case:

Text
python worker.py --db DB --config CFG --interval-seconds 300 --max-runs 12 loop
python worker.py --db DB --config CFG stop

Run stop from another terminal, then inspect status, the latest run ID, timestamps, counts, errors and any unknown requests. Each loop run refreshes Gmail access, polls a bounded batch and exits on its first failed run. It never executes proposals automatically. The active switch blocks subsequent write claims and the loop checks between messages and before model calls. A request already claimed or sent after the final check may remain in flight; stopping cannot undo it. A hosted scheduler, Gmail push, alerting or unattended execution would require separate design and authority. This example activates none of them. Watch the first actual run, permitted sample, model bill, API quotas, held decisions and journal retention before choosing any later trigger.

Sources & further reading

The Gmail list/get guide explains ID selection and full-message retrieval. Gmail scopes, OAuth and labels cover consent, restricted access and mailbox marking. Responses structured outputs documents schema behavior and limitations; Linear GraphQL and Slack posting define the destination requests. These current manuals describe interfaces, not our live account results. For adjacent tasks, BIG CHANGE's n8n support triage guide ends at a reviewed reply draft, while its Gmail read check stays read-only. This guide is a distinct integration, not a dated continuation of either article.
